that means it needs to be in english then, doesnt it?
Yes. Make sure that when you order on Rakuten (or wherever) that the billing address is exactly your name and address on your juminhyo.

When you order from a city, they will either a) send you the onestop form directly; or b) ask you if they want them to send you the onestop form. This form arrives by mail separate from the thing you buy (technically a gift). You fill this form out with your mynumber and some identification, you send it back to them and then THE CITY will arrange for your residential tax to be reduced by contacting your real city and getting the money from them.

Yes, you need to send once to each city you buy from (max of 5 for onestop). You can order multiple times from the same city. In this case, you should send the forms to them all at once.

Yeah, this is actually the time when most Japanese people do it (since they don't want to waste the year's allowance). The deadline is to submit the onestop document to the city I donated to is by January 8th (however any purchase needs to be made before December 31st).

For your wife, it needs to be placed on the kakutei shinkoku plus the "receipt" that the cities give you (they give you 2 documents at least. the onestop document and the certification of donation)

and for my wife is it correct that the kakutei shinkoku can be filled til march next yr?
i presume that if they are sending seasonal goods next yr,they will send the reqd docs to be filled separately ahead of time?

I've never filed a kakutei shinkoku so I couldn't tell you but the furusato nozei needs to be in the calendar year 2021 no matter when she files her tax return (I think).

If the delivery date of the goods is next year but they are "accepted" by the city this year, it still counts for this year I think. They will send the document within 2-3 weeks in my experience. Think of the gift as a separate thing, the transaction that matters is you giving a donation to the city. Thats where the tax is counted.

The form for the one-stop system should arrive separately within a couple of weeks of making your donation, so if you're making any donations in the second half of December you may have to print out the form by yourself rather than waiting for it to be sent.
Printing the form by yourself isn't particularly difficult, but the advantage of getting a form sent to you is that a lot of the information will already be filled in rather than being completely blank and you may also get a return envelope with postage paid.
